In this article, you will learn how to configure, use and invoice the licensing of RetailForce products and services in the Portal. 

Licensing configuration

Licenses can be assigend to certain terminals via configuration-items - like other settings. Configurations can be created in the RetailForce Cloud-Portal and can be found via "Configuration" in the main menu (left). For each configuration item, the licensing for this configuration item can also be defined. 

Clicking on "Licenses" takes you to the view for configuring licences. This can be edited with "Edit". Afterwards if the change is desired, please close the mask with "Save".

Only the licences available for the respective country configuration are displayed for selection. 

Licensing across different countries is not possible; licensing is always based on the selected fiscal country.

The licences are activated by selecting the respective licences. 

By creating several configurations, different licensing models can be created within an organisation. 

Sub-licences / options

It is possible that licences provide additional sub-licences or options. These can also be selected by opening the licence. 

Not all sub-licences are optional. Non-optional sub-licences are automatically selected.

Licence units

There are different units for the licences, essentially a distinction is made between 2 groups:

• Period-dependent licences (MONTH, YEAR, ...)
  Billing according to use for the respective month, year, ...
• Usage-dependent licences (PAYPERUSE)
  Billing per use

Allocation of licences

The allocation of the licences is done with the allocation of the configuration to the respective entity (organisation, company, store, terminal). 

The inheritance and also the possibility of overwriting work in the same way as the configuration inheritance.

Licence settlement

The licence settlement always takes place at the end of the month. At this time, all licence units are invoiced. 

The consumption-dependent licences are recorded within the month (usage), each recorded usage is settled with the agreed licence amount. 

Billing of time-period-dependent licences

The billing of time-period-dependent licences is carried out as follows:

• All time-period-dependent licences used in the billing period (if the licence is drawn by licence retrieval, a consumption is recorded; this occurs, for example, when the transfer of data to the cloud is started (for CloudArchive licence)).
• In addition, on the billing day (last day of the month), all licences allocated according to the configuration are billed (if the same licence has already been billed by the first point, then of course no double billing occurs in this case). 

Change Licensing / Configuration Download

The configuration download is a chargeable licence that is billed according to consumption. If the configuration is changed and a download is necessary again, then a further consumption is also registered and then billed. 

However, this is NOT the case for changing the licensing. A change of the licensing does not require a further configuration download and therefore does not cause any costs in the sense of the configuration download.

Any e.g. time-dependent or already used consumption-dependent licences will also be billed after removal from the configuration at the last day of the month.
